Pdf Summary
The document describes WVU Medicine’s effort to automate MedAxcess data submissions for patient panel attribution and CPT code extraction using EPIC EMR reporting tools. Its main goals are to define the technical requirements for seamless database integration and to build validation steps that ensure accurate benchmarking data.

Key data requirements include provider and service details such as NPI, credentials, demographics, specialty, FTE, hours, and location; provider panel size; financial information like revenue, expenses, AR aging, and payor mix; supporting staff information; and CPT details with modifiers at the hospital account level.

The presentation explains why automation is needed: manual reporting was slow, error-prone, difficult to scale, and costly. EPIC’s Reporting Workbench and SQL were identified as the best tools for creating repeatable, scalable reports with better accuracy and less manual work.

Two automated workflows are outlined: one for patient panel reporting and one for CPT count reporting. Each process begins by updating provider lists and generating location-based and detail-level reports in CSV format, which are then sent to IT for bulk loading. The resulting detail reports are also used for validation, while final submission reports are produced for MedAxcess.

Validation played a major role in the project. Manual counts were compared year-over-year against automated results to identify mismatches. This process uncovered missed patient encounters and corrected misreported data, improving the accuracy of patient volume and panel attribution. Overall, the automated methodology reduced discrepancies and strengthened data quality for operational and benchmarking use.
